Manually Importing Candidates From Indeed (See also: Indeed Integration)

For companies migrating to Business Draft, or wanting to post to Indeed when on a Free Trial.

Important Note:

We recommend using the automatic Indeed Integration, which is included with every plan for no additional cost.

This article is targeted for companies if you either:

  1. You do not wish to use the Indeed Integration

  2. OR you migrating existing applicants

Posting to Indeed

  1. Create an Employer Account

    Visit www.indeed.com/hire and click on 'Employers/Post Job'.

    Account Setup: Click on ‘Sign in’ and then ‘New to Indeed? Create an account’. Fill in your email, password, and company details.

  2. Create Your Job Posting

    Start Posting: Once logged in, click on the “Post a Job” button. Enter the job details.

  3. Application Qualifications

    Screening Questions: Add questions to help filter candidates based on their experience and qualifications. These can be yes/no questions or multiple choice.

  4. Review & Publish

    Preview Your Posting: Review all the information for accuracy.

    Post Your Job: Click ‘Confirm’ to post your job advertisement. Start Posting: Once logged in, click on the “Post a Job” button.

Importing Applications From Indeed

  1. Log In to Your Account

    Open www.indeed.com and click on “Sign In” located at the top right corner. Use your employer credentials to log in.

  2. Navigate to the Candidates Section

    Once logged in, you’ll be on your main employer dashboard. Click on the 'Jobs' tab at the top of the page. Select Your Job: Find the job listing whose applications you want to export and click on it.

  3. Accessing Applications

    View Applications: Inside the job listing, click on the “Candidates” tab to view all the applicants for that position.

  4. Exporting Data

    Find Export Option: Look for an option that says “Export” or a download icon, usually found above the list of candidates or within the ‘More Actions’ menu. Select Export as CSV: Choose to export the data as a CSV file. This will compile the available data of all applicants into a spreadsheet format.

  5. Download the File

    Click on the export option, and the file will automatically download to your default downloads folder. The CSV file will contain details such as the candidate's name, contact information, cover letter, answers to screening questions, and other relevant data.

  6. Import into Business Draft

    Navigate to the job opportunity, and click the 'Import Applicants' icon. Follow the steps, and your applications will be automatically imported!

When you import candidates into Business Draft, you can assign each column to one of the following:

First Name
– You must provide either a full name, or both a first and last name

Last Name
– You must provide either a full name, or both a first and last name

Full Name
– You must provide either a full name, or both a first and last name

Email
– You can assign multiple columns to the email field. If you import from indeed, they will mask all emails with a @indeedemail.com addresses. In this case, we HIGHLY recommend adding a screening question asking for a personal email, and then marking both as emails in the import. Business Draft will smart-decide the better email to use.

USA City & State
– For any field in the format "Miami, FL" or "Miami, Florida"

Phone
– Can be in any format. If no international code is present, it will default to +1 for the United States.

USA City
- Must be a valid, US city name (e.g. "Salt Lake City")

USA State
– Must be a valid, US state name in either the 2-letter or full name format (e.g. "OR" or "Oregon").

Current Role
– A text value of the candidate's current position (i.e. "Sales Representative" or "Receptionist")

Highest Education
– A text value with the highest education completed, usually either the type of education or the name of the institution (e.g. High School, GED, University of Oregon, Oregon High School, etc.)

Acquisition Source
– This is an optional field for your own internal reporting

Applied At
– The date the application was received. Must be within the last year, otherwise it will default to the moment of importing.

Interest Level
– Any candidates with an interest level of "Yes" (Capitalization-sensitive) will automatically be moved into the first interview and be sent a link to schedule
– Any candidates with an interest level of "Reject" (Capitalization-sensitive) will automatically be marked as disqualified.

Notes
– You can select unlimited columns for notes. All fields will be combined with commas, and added as a single note to the candidate (e.g. if there were three different fields that didn't map up to Business Draft, you could add them all to notes, and there would be a single note created in the format Note 1, Note 2, Note 3)

Screening Questions (Up to 15)
– You must include both a question & an answer column, and these will be added to the application information.
